Extraordinary General Meeting

It was agreed at the Annual General Meeting to elect an Events Officer. The remit of the Events Officer will be to organise Convention, Fresher's Fair and informal social events

The EGM will not vote on a constitutional change. After discussions with YUSU, it is impossible to include a clause allowing non-students to vote in our constitution. However, if there is time we would like to discussion other options about involving non-students in the committee.

Email voting for Events Officer is open. Please make it clear that you are voting for this election in the title bar and vote for either (a) Rosie Cook, Jon Fry and Adella Gill or (b) Re-Open Nominations. Voting will close at midnight on Wednesday the 9th

Society Meal

We will be sending out an email to everyone who has RSVP'd. Bear with me it's coming soon!

Merchandise. We have some interest in Society hoodies and mugs. We'll be looking into merchandise over the Easter break with the intention of having it before next September.

Please be aware that any paid member of the society can email in with something they'd like to be in the weekly email (within reason).even if it isn't SF'n'F content related. We'll also have announcements from non-society members who have emailed in with something relevant. In other words we won't be including advertising unless the advertiser has paid their £4.

Non-Students and Voting in Society Elections

Dear members,

As a society we are obligated to use a template for our constitution provided by them. There are parts which we are entitled to change, but much of it is non-negotiable.

This was implemented before last year, and the template includes this clause:

10. Election of the Committee
Point 10.4 - Only Society members who are also full members of YUSU shall be entitled to vote.

This clause is in place to ensure that societies are run by students, and can demonstrably be so. As a society with a large non-student membership this clause can by used by YUSU and the society to justify ourselves as a student society.

Owing to the large and active community of non-students within SFNF, we have since spoken to YUSU's representatives to consider ways in which alumni might be better accommodated and acknowledged. We are sorry to announce that point 10.4 is mandatory if we are to remain ratified as a YUSU Society.

However, there are other possibilities. If we reach quorum at the EGM on 10/03/16, we will now include a discussion of inclusion of advisory posts which the president appoints on the advice of the society as a whole in the case of the absence of eligible abnormal member nominations. Another option might be the inclusion of a non-student representative or similar.

Please do speak to the President or Secretary with any concerns or ideas. The committee fully wishes to represent all members of the society and their contribution fairly.

New Committee!

Wargames

Wargames will be occurring on a more regular basis next term, run by Daniel Bean. This week there will be Warhammer 40k.

Tabletop Day

This week heralds the much anticipated Tabletop Day!

The theme of Term 2 is Linked Games

We have a set of 5 games to be run by Tom, Thomas, Tas & Jake, Katrina and Paul, these games will be set in a variety of different settings.

Players may find themselves able to move between these games and play in multiple games during the same session!

Vague Structure of the day

Assemble at 12:30 in G/001, set of 5 linked games run until around 6ish
Pizza and other food after the first lot of games.

Then a second set of individual games in the evening if people are happy to keep going!

We have no definite plans for games in the evening slot so people are free to run what they wish.

Society Meal

Wagamama's on Thursday the 10th, after the EGM. Please declare interest by Monday the 7th.

Merchandise

There has been some interest in Society Hoodies and Mugs. If anyone thinks this is a good idea, let us know and we'll get on the case.

As a result of motions discussed during the AGM, an EGM will take place on Thursday the 10th of March, at 18:00 in V/045 to elect an Events Officer. Nominations are open, so if you wish to stand for this position please email the society before Wednesday 2nd March. Further information will be included in an email tomorrow.

Other conclusions from the AGM:

The Society shall remain the Science Fiction and Fantasy Society, although the name shall be reviewed at the next AGM with the intention of changing it if we still feel that the actions of the society do not reflect the name.

It was suggested that there be a vote to allow non-student members of the society to vote. Unfortunately, this clause is a non-negotiable part of the constitution that YUSU insist on, and can therefore not be changed, no matter the outcome of a potential vote.

It was agreed that an EGM should be held to elect an Events Officer. The Events officer will be responsible for convention scheduling, fresher's fair organisation and promoting informal social occasions (such as the Thursday films and a proposed book club).

I am writing on behalf of the Durham University Science Fiction and Fantasy Society.  We're holding an event this term that we think your members might be interested in.

Taking place on Saturday March 5th, the Durham Sci-Fi and Fantasy Lit-Fest will be Durham's first convention focused on genre literature. Guests of Honour will be Richard Morgan (author of 'A Land Fit For Heroes' and writer for 'Crysis 2' and 'Black Widow') and Lauren Owen (author of 'The Quick'). They will be reading excerpts from their latest novels and will be answering attendees' questions on starting their own creative writing journey in a Q&A panel session. Doors open at 1pm at the Kingsgate Bar, Durham Students Union, New Elvet, DH1 3AN.

As stated above, society movies will be occurring this Thursday, followed by the usual social in D-Bar. This is expected to become a regular occurrence. The particular film(s) have not been chosen as of yet, but will be Fantasy or SciFi classics.

A polite reminder to let the Kit Officer know in advance if you intend to give LARP kit to the society. The storage space we have in the University is minimal, and it is useful to know about donations beforehand so that we can organise where to keep them.

Hi,

I'm currently part of a team responsible for devising a new wide game which is to be used as part of a future convention for fans of the Children's TV Show Knightmare.

The game is called "Lord Fear's Midnight Hunt" and on 5th and 6th of March we'll be running some beta tests of the concept at night in Whitby.

I wondered if any of your group would be interested in participating either as players, NPCs or Mobs (Goblins).

I'm afraid we can't offer any compensation for participation and anyone taking part would be responsible for organising their own food, travel & accomodation if required.

The general concept is as follows...

A team of players are given a series of tasks to carry out, this generally involves travelling by foot around the streets of Whitby to locate particular characters or obtain items from locations. Whilst doing so there is a team of Goblins that also hunts the team on the routes they're likely to be using between objectives.

Local knowledge isn't essential, a full walk-around briefing is carried out for all NPCs & Goblins. Players are briefed on the rules at the start of the game and are followed at all times by a GM.

As this is a test it is expected that things may at times go wrong or not work out. At the end of each session we'll have a feedback session with everyone involved to gain an insight into how they felt about it. We'll be looking to hear not only what they enjoyed but also problems they encountered, difficulties and other flaws.

If anyone in your group is interested please ask them to e-mail me with any questions they may have.

Also if you know of any role play or gaming groups closer to Whitby that might be interested please let me know.

Although elections may appear no more than a tiny dot on the horizon at this point, it is not too early to nominate yourself for a position on committee! If you are interested in running for a signatory position (President, Secretary, and Treasurer) please note that it is required for you to be a University student, although this is not necessary to apply (or reapply) for the other positions (Kit Officer, Webmaster, Librarian, Abnormal Member for LARP, Abnormal Member for Wargaming, Abnormal Member for Cardgames, Representative for Tabletop, and Abnormal Member for Boardgames).

We have received complaints for the Wentworth Porters about the amounts of food and drink consumed in University rooms at Convention. Please remember in future to take all rubbish with you, and that eating and drinking is only officially permitted in the Edge Bar.

As stated above, the termly convention is taking place this week. If you own boardgames, please feel free to bring as many along as possible, as it would be greatly appreciated by the society. Please also remember not to eat or drink alcohol in any of the stated rooms and to keep them free from rubbish after you have finished using them. The traders coming on Sunday are as follows:

The Great Big Civilised Party is a LARP event in the Empire world, but would be very suitable for people new to Empire or new to LARP. It is a celebration of Performing Arts, including singing, acting, public speaking, and teaching and learning crafts.
